County clerks meet, share information
Electronic document recording is future of office

Monmouth County Clerk M. Claire French meets with Passaic County Clerk's Office staff to share information
The Monmouth County Clerk recently met with the Passaic County Clerk to share ideas and information about the county's e-recoding efforts and more.

FREEHOLD – Monmouth County recently hosted members of the Passaic County Clerk’s Office in a day of sharing information about each county’s system of electronic document recording and other responsibilities of the County Clerk’s office.

Passaic County Clerk Karen Brown and some of her staff traveled south to meet with Monmouth County Clerk M. Claire French on July 29 to learn more about government services offered on line and available through the county’s digital portal to electronic documents.

Monmouth County was the first county to participate in the e-recording of documents when the service was officially launched in October 2003. One of the first shared service partners in the e-recording project was Passaic County in July 2004.

“As our processes evolve and our services expand, it’s good to share the day-to day workings of our office with other clerk’s offices,” French said. “The ultimate goal is to serve our residents by providing for the electronic recording of specific documents regarding real property. This service is not limited to Monmouth County; there are many other counties involved and it is quite valuable to have a show and tell here in our office.”

The goal of electronic document storage is to boost the efficiency, integrity and security of public records systems in the state’s counties. The effort also helps preserve more than three centuries of historical government archives and promote intergovernmental sharing of services and facilities.

The process conforms to guidelines published by the state Division of Archives and Record Management. Additionally, this service has incorporated standards published by Property Records Industry Association.

Members of the Monmouth County Clerk’s staff also provided information about their various work process to the Passaic County Clerk’s Office visitors.
